AUTOMATION / AI

Operations, simplified.

From inquiry to ready-to-send quote.

Interface concept: From inquiry to ready-to-send quote.

WHO THIS SCENARIO IS FOR

From inquiry to ready-to-send quote.

For a sales or operations team that handles similar inquiries and needs to shorten the path from email to a verified quote.

STEP 01

The inquiry becomes an organized case

The system retrieves the message and attachments, identifies the type of need, and points out missing information. It retains a link to the original so the sales representative can quickly check the context.

STEP 02

Data meets the rules

The integration checks the client in the CRM, and the business logic uses the approved price list. AI helps interpret requirements but does not invent prices or terms that are not present in the sources.

STEP 03

A human makes the decision

The sales representative sees the draft, fields requiring review, and the recipient. They can edit a section, reject the proposal, or approve the dispatch. The case status distinguishes preparation from an actually executed operation.

01 / CHALLENGE

The sales team copies email data into the CRM and manually prepares similar quotes.

02 / SOLUTION

An assistant organizes inquiries, completes the data and drafts a quote. A sales representative reviews and approves it before sending.

03 / HOW TO MEASURE VALUE

Quote preparation time, number of manual steps and share of drafts needing correction.

DESIGN DECISIONS

A scope you can test.

In the first stage, we would limit the scope to one type of inquiry and draft preparation. Automatic dispatch would be a separate decision after a quality assessment. A missing price, an ambiguous product, or an unavailable CRM stops the case in a clear queue, rather than leading to guesswork.

How would we plan a pilot?

We divide previously collected inquiries into development and acceptance examples. We compare the time spent on preparation and review with current work. We separately measure incomplete cases, corrections, and the effort required to handle exceptions. Only measurement on new data justifies expansion to other teams.

SAMPLE ACCEPTANCE CRITERIA

What needs to work?

  • The quote maintains its link to the source inquiry.
  • Every price results from an applicable rule or an approved source.
  • Repeating the operation does not create a second dispatch or a duplicate case.
  • A person without the required role cannot approve the action.

LET'S TAKE THE FIRST STEP

Let's discuss
your project.

You don't need a finished specification. Tell us what you want to improve, and we'll find the right place to start together.

  • We'll find where technology can bring you the most value.
  • We'll discuss scope, budget and a practical plan.
  • We'll agree on a clear next step, with no obligation.
